Winter Accounting Duties

JC Miller

It seems that the fall work just gets put to bed and the winter work in accounting really gets in gear.

First thing we have to contend with is the certified audits for all the companies. Most of you probably don’t know the reason why we have to have certified audits. The easy answer is “because we have to”. The State Department of Transportation requires our CONTRACTOR’S STATEMENT to be certified by our auditors. Then, the Banks, Insurance Companies, and the Bonding Company like to have the audits also. That can take close to a month to help the auditors get through all the companies. (At least we don’t have to worry about an Enron type of problem).

Another big job for us is to switch over all the files from last year to this year. Doesn’t seem like a big job but it takes us many weeks to clean out the old files, microfilm everything, and then set up the new files for the new year. We actually rent an extra microfilm machine to speed things up. We are still working on getting all the paperwork microfilmed from last year.

We then have to set up all the relationships for the coming year. As an example, our banking relationships are very important to us. We have to agree on bank fees, interest rates, etc., before we get working in the spring. That is a project that takes me about 6 weeks of work to get done. We have to report many things to them. It really makes us take a good hard look at our business and explain differences from previous years.

By the time we get everything ready to go, it is time to GO! But no matter how anxious we all are to start work this spring, let’s remember that we don’t want to have anyone get hurt or worse. Please work safe this coming construction year. The life you save may be your own!!!!
